This privacy policy explains how VSAP GROUP PTY LTD, ABN (64 685 651 316), collects, uses, discloses, stores, and protects personal information in connection with vivaloop.

1. Scope of this privacy policy
This policy applies to personal information collected through our website, waitlist, support and suggestions forms, app, software, social media pages, and direct communications with us.
Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable. Sensitive information may include health-related information, body-related information, food and lifestyle information, or other information that receives higher privacy protection under applicable law.
2. Information we may collect
We may collect information you provide directly, such as your name, email address, account details, waitlist responses, profile answers, goals, preferences, habits, support needs, messages, feedback, and attachments you upload through support or suggestion forms.
If paid features are available, we may collect payment, subscription, purchase, and billing-related information. Payment details may be handled by payment processors or app stores, and we may not receive full card or bank details.
We may also collect technical and usage information, including browser or device information, pages viewed, approximate location derived from technical data, referral source, cookie preferences, form interactions, and analytics events.
3. Sensitive health-related information
vivaloop may ask about eating patterns, food preferences, body-related goals, motivation, stress, routines, movement, barriers, and related lifestyle factors so the app can provide more relevant behaviour support.
We will only collect sensitive information where you provide it, consent to the collection, or where collection is otherwise permitted by law. You should avoid sharing information that is not needed for your use of vivaloop.
4. How information is collected
We usually collect information directly from you when you join a waitlist, create or use an account, answer profile questions, use app features, submit a form, upload an attachment, contact support, respond to a survey, or communicate with us.
We may also collect information automatically through cookies, analytics tools, and similar technologies when you use our website or app.
5. Why we use information
We may use personal information to provide, operate, personalise, maintain, and improve vivaloop; manage waitlist and early access requests; create and support accounts; provide plans, prompts, reminders, reflections, and recommendations; process purchases; and respond to support, privacy, account, and product requests.
We may also use information for safety, fraud prevention, security, troubleshooting, analytics, product research, service quality, legal compliance, record keeping, and business administration.
We do not currently use personal information to operate public community groups, prize draws, competitions, or prize-based challenges.
6. AI-assisted features
vivaloop may include AI-assisted features that help generate prompts, reflections, coaching-style support, plans, summaries, or recommendations. Information you provide may be processed by those tools to generate outputs.
Where we use third-party AI service providers, information may be disclosed to those providers for the purpose of operating the relevant feature. Additional notices may be shown in the app where a specific feature needs more detail.
AI outputs may contain errors and should be used for general wellbeing and behaviour support only. They are not medical, dietetic, mental health, diagnosis, or treatment advice.
7. Disclosure of personal information to third parties
We may disclose personal information to service providers and contractors who help us operate vivaloop, including hosting, data storage, analytics, email delivery, customer support, payment processing, security, maintenance, product research, and professional advisory providers.
We may also disclose information where you consent, where needed to complete a transaction or support request, where required or permitted by law, to protect our rights or users, or in connection with a merger, acquisition, restructure, or transfer of all or part of our business.
8. Marketing communications
We may use your contact details to send waitlist updates, product news, service messages, and marketing communications about vivaloop. You can unsubscribe from promotional emails using the unsubscribe link where provided.
We will not sell your personal information. We also will not use your personal health or progress information in public marketing without your consent.
9. Cookies and analytics
We use cookies and similar technologies to keep the website working, remember privacy choices, understand usage, improve the product, and support relevant content. You can manage optional cookie categories through the cookie preferences tool.
The website currently uses Microsoft Clarity to help us understand how visitors use the site and improve the experience. Analytics tools may collect technical and interaction data such as pages viewed, clicks, scrolling, browser information, device information, and approximate location.
10. Storage, security, and retention
We may store personal information electronically using our own systems and trusted third-party service providers. We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, and disclosure.
No method of transmission or storage is completely secure. If you believe your account or personal information has been compromised, please contact us promptly.
We keep personal information for as long as reasonably needed for the purposes described in this policy, including to provide the service, comply with legal obligations, resolve disputes, enforce agreements, and maintain business records. We will delete, de-identify, or take reasonable steps to securely destroy information when it is no longer needed, unless we are required or permitted to keep it.
11. Overseas disclosures
Some of our service providers may store or process information outside Australia, including through cloud, analytics, payment, email, support, or AI-related services. Where required, we take reasonable steps to ensure overseas recipients handle personal information consistently with applicable privacy obligations.

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant, or misleading. We may need to verify your identity before responding.
You may also ask us to delete personal information where required by law or where we no longer need it. We may be unable to delete information that we are required or permitted to keep, such as records needed for legal, security, transaction, or dispute-resolution purposes.

vivaloop is not intended for children. If we become aware that we have collected personal information from a child without appropriate consent, we will take reasonable steps to delete it or handle it as required by law.
14. Links to other services
Our website or app may link to third-party websites, app stores, payment providers, or other services that we do not control. Their privacy practices are governed by their own policies.
